Managing User Permissions

Overview

Permissions control which sections and actions each team member can access within your workspace. You can fine-tune permissions per person beyond the default role settings.


Before you start

  • You need the manage_users permission to edit another member’s permissions.
  • Owner accounts cannot have their permissions changed.

Understanding permissions

Each permission in WhatGenius comes in two parts: a view permission and a manage permission.

  • View permissions allow the user to see the section and its contents (read-only).
  • Manage permissions allow the user to create, edit, and delete items in that section.

A user cannot manage something they cannot view — so if you grant manage access, view access should also be enabled.

How to view and edit a member’s permissions

  1. Click Users in the left sidebar.
  2. Find the team member in the list.
  3. Click the Edit permissions button on their row.
  4. The User permissions modal opens. It shows a note confirming you are managing that member’s permissions inside the current workspace.
  5. A two-column grid shows all available permissions. Each card contains:
    • The permission name and description
    • A checkbox — checked means the permission is active, unchecked means it is disabled
  6. Click the checkbox on any permission card to toggle it on or off.
  7. The “Unsaved changes” indicator appears at the top as soon as you change anything.
  8. The total permission count updates as you toggle items.
  9. Click Save changes to apply, or Cancel to close without saving.

Tips & things to know

  • Changes take effect immediately after you click Save changes — the member does not need to re-login.
  • Sidebar visibility is permission-controlled. If a member does not have the view_ permission for a section, that section will simply not appear in their sidebar.
  • Granting manage without view is possible in the UI but will cause the section to be hidden from the user even though they technically have manage access. Always pair the two.
  • The “Unsaved changes” indicator is a reminder — if you close the modal by clicking Cancel or pressing Escape, your changes are lost.
  • To revoke all access, use the Revoke access button on the Users page instead of manually unchecking every permission.
