Managing Your Media Library
Last updated on April 2, 2026
Overview
The Assets section (also called the Library) is a central place to upload and store images, videos, and documents. Files stored here can be reused across multiple message templates without needing to re-upload them each time.
Before you start
- You need the view_assets permission to see the Assets section.
- You need the manage_assets permission to upload or delete files.
How to view your assets
- Click Assets in the left sidebar.
- The page shows a gallery or list of all files uploaded to your workspace.
- Each file shows:
- A thumbnail (for images and videos) or a file type icon (for documents)
- The file name
- The file size
- The date it was uploaded
- Use pagination controls to browse if you have many files.
How to upload a file
- On the Assets page, click the Upload button.
- A file browser opens. Select the file you want to upload from your computer.
- The file will upload and appear in the gallery when complete.
Supported file types include images (JPG, PNG, GIF), videos (MP4), and documents (PDF). Maximum file size limits may apply.
How to use an asset in a template
When building a message template in the Template Studio:
- On the Header tab, select Image, Video, or Document as the header type.
- Use the upload field or URL field that appears to select or link to your file.
- If uploading, you can select a previously uploaded file from the library, or upload a new one directly from the template editor.
How to copy a file link
- Find the file in the Assets list.
- Click the Copy action (copy/link icon) on the file.
- The file’s URL is copied to your clipboard. You can paste it into a template header URL field or share it elsewhere.
How to download a file
- Find the file in the Assets list.
- Click the Download action (download icon) on the file.
- The file will download to your computer.
How to delete a file
- Find the file in the Assets list.
- Click the Delete action on the file.
- Confirm the deletion.
Warning: If a file is currently referenced in an approved or active template, deleting it may cause that template’s header to break. Check usage before deleting.
Tips & things to know
- Assets are shared workspace-wide. Any team member with the manage_assets permission can see and use all uploaded files.
- Uploading the same file twice creates two separate copies — the library does not deduplicate files automatically.
- You can use the library as a convenience store for frequently reused media (e.g., your company logo) so you do not need to re-upload it for every template.
